How can Nigerian students use Zotero to reference a final-year project?

GOSPELTRADER Research Desk · 15 October 2026 · 4 min read

Learn how to use Zotero for your final-year project, add citations in Word, choose a referencing style and fix common reference errors.

You can use Zotero to collect your research sources, insert citations into Microsoft Word and generate a reference list for your final-year project. Install Zotero and its browser Connector, choose your department’s required referencing style, and check each source’s details before citing it.

1. Install Zotero and check your department’s requirements

Zotero is a free reference manager you can install on Windows, macOS or Linux. Download it from zotero.org, then install the Zotero Connector for your supported browser so you can save sources while researching.

Before you begin, check your project handbook or ask your supervisor which referencing style and edition you must use. Do not assume that every Nigerian university or department uses APA.

  • • Install the Zotero desktop application on your laptop.
  • • Install the Zotero Connector using the link on Zotero’s official website.
  • • Open Microsoft Word and look for the Zotero tab; the Word integration normally installs with Zotero.
  • • If the tab is missing, close Word and check Zotero’s Settings under Cite, then Word Processors, for the option to install or reinstall the Word add-in.

2. Create a project collection and save your sources

Create a collection in Zotero with a clear name, such as “Final-year project — solar energy”. Use subcollections for themes or chapters if that helps you find sources.

Open a journal article’s publication page and click the Zotero Connector button to save it. Saving from the publication page often gives you better bibliographic details than importing a downloaded PDF alone.

  • • Use Add Item by Identifier to look up a source using its DOI or a book’s ISBN.
  • • Drag an existing PDF into Zotero, then check whether Zotero retrieves the correct source details.
  • • If a PDF has no bibliographic details, create a parent item and enter the verified information yourself.
  • • Add a short note explaining why a source is relevant and record page numbers for passages you may quote.

3. Check source details before inserting citations

Zotero formats the information in your library; it does not guarantee that imported information is accurate. Compare each record with the article, book or publisher’s page before using it.

Be especially careful with institutional reports and Nigerian government publications. An organisation may be the author, and you should enter its name as a single-field creator rather than splitting it into a first name and surname.

  • • Check the item type: a journal article should not be saved as a generic web page.
  • • Verify author names, publication year and the source title.
  • • For journal articles, check the journal name, volume, issue, page range or article number, and DOI where available.
  • • For web sources, check the URL and record an access date where your style requires it.
  • • Use Zotero’s Duplicate Items view to identify and merge duplicate records.

4. Insert Zotero citations into Microsoft Word

Keep Zotero open while working in Word. In the Zotero tab, select Document Preferences and choose your required style, such as APA 7th edition if your department specifies it. If the style is missing, check Zotero’s style repository.

Place your cursor where the citation belongs, select Add/Edit Citation, search for your source and select it. For a direct quotation, open the selected source’s citation options and enter the relevant page number.

  • • Cite borrowed ideas and paraphrases, not only direct quotations.
  • • Add several sources within the same citation when they support the same point.
  • • Use Add/Edit Citation to change a citation rather than typing over its automatically generated text.
  • • Only cite material you have actually consulted; saving a source in Zotero is not a substitute for reading it.

5. Generate and review your reference list

Place your cursor where your reference list should begin and select Add/Edit Bibliography. Zotero generates the list from the citations inserted through its Word integration, not from every item saved in your project collection.

If you find an incorrect title, author or date, correct the source record in Zotero and click Refresh in Word. Avoid manually correcting generated references because later updates can overwrite those edits.

  • • Compare the output with your department’s referencing guide, including punctuation, italics and indentation.
  • • Check that quotations have the required page numbers and that every cited source is identifiable.
  • • Keep your editable Word document with Zotero citations intact, even if you submit a PDF.
  • • Back up both your project document and Zotero library. Treat synchronisation as a convenience, not as your only backup.

Frequently asked questions

Can you use Zotero without an internet connection? Yes. You can organise sources already stored on your laptop and insert citations into Word offline. You need an internet connection to retrieve new sources online, look up identifiers, download styles or synchronise your library.

Do you have to pay for Zotero to reference your project? No. Zotero’s core reference-management and citation features are free. Its optional online storage for attachments has a free allowance, with paid plans available if you need more; you can keep files locally without buying a storage plan.

Can Zotero automatically fix references you have already typed in Word? Not reliably. Zotero does not normally convert plain-text citations into linked Zotero citations automatically. Add the sources to your Zotero library, replace the typed citations using Add/Edit Citation, and then generate a new bibliography.
