How can you use ChatGPT to create Excel formulas for your business in Nigeria?

Learn how to use ChatGPT to write and check Excel formulas for sales, profit and unpaid invoices in your Nigerian business.
You can use ChatGPT to create Excel formulas by describing your column headings, providing anonymous sample rows and explaining the calculation you need. Paste the formula into Excel, check it against a manual calculation and test unusual cases before using it for business decisions.
1. Describe your spreadsheet before asking for a formula
You get more useful formulas when you give ChatGPT your exact spreadsheet layout rather than asking it to calculate profit without context. You can type the headings and a few fictional rows into the chat; you do not need to upload your workbook.
For a simple sales tracker, use these headings in row 1: A — Date, B — Product, C — Quantity, D — Unit selling price, E — Unit cost, F — Payment status, G — Sales revenue and H — Gross profit. Start your entries in row 2.
Enter prices as numbers and apply Excel’s currency formatting to display naira. Avoid typing entries such as '₦5,000 each' into a price cell, because Excel may treat them as text.
- • Tell ChatGPT your Excel version if you know it, so it can avoid unsupported functions.
- • State whether each row represents one product sale, one invoice or another type of transaction.
- • Explain whether your prices include delivery charges, discounts or tax.
- • Replace customer names, phone numbers, bank details and confidential prices with fictional examples.
2. Ask for sales and gross profit formulas
Use a precise prompt: 'In Excel, C2 contains quantity sold, D2 contains unit selling price in naira and E2 contains unit cost in naira. Give me formulas for sales revenue in G2 and gross profit in H2. Explain each formula and do not assume any extra charges.'
For this layout, your sales revenue formula in G2 is =C2*D2. Your gross profit formula in H2 is =C2*(D2-E2). Enter each formula and copy it down through your populated rows using Excel’s fill handle.
If you sell three items at ₦5,000 each and each item costs you ₦3,500, your sales revenue should be ₦15,000 and your gross profit should be ₦4,500. Gross profit is not net profit: you still need to account for other expenses, such as rent, electricity and staff costs.
3. Calculate totals and track unpaid sales
Once your row calculations work, you can ask ChatGPT for summary formulas. Specify the exact range and where you will place the summary so that your formula does not accidentally include its own cell.
For sales revenue in G2 to G100, use =SUM(G2:G100). For total gross profit in H2 to H100, use =SUM(H2:H100). Put these formulas outside the ranges they calculate.
If column F contains either Paid or Unpaid, use =SUMIF(F2:F100,"Unpaid",G2:G100) to total revenue on rows marked Unpaid. This works only when each row is wholly paid or wholly unpaid; it does not calculate outstanding balances correctly for part-payments.
- • Use an Excel drop-down list for payment status to reduce inconsistent entries.
- • For part-payments, add an Amount received column and calculate outstanding balance as sales revenue minus amount received.
- • Extend your summary ranges as you add sales, or convert your data into an Excel Table and ask for formulas using its column names.
- • Keep returns, cancellations and refunds clearly recorded rather than silently deleting completed transactions.
4. Check AI-generated formulas before relying on them
Treat every formula from ChatGPT as a draft. A formula can run without an error message and still calculate the wrong thing because it uses the wrong column or misunderstands your business rules.
Test a small copy of your sheet before changing your main records. Ask ChatGPT: 'Explain which cells this formula uses, what assumptions it makes and which test cases I should check.' Then verify the results yourself.
For tax calculations, do not let ChatGPT guess the applicable rate, treatment or filing requirements. Confirm your obligations using current guidance from the relevant Nigerian tax authority or a qualified tax adviser.
- • Check one ordinary sale using a calculator.
- • Test zero quantity, blank cells and a selling price below cost.
- • Check how your sheet handles discounts, returns and part-payments.
- • Confirm that formulas copied down refer to the correct row.
- • Check that your totals include every relevant transaction and exclude summary rows.
5. Fix formula errors without exposing business records
If a formula fails, share the formula, the exact error message and fictional cell values with ChatGPT. For example: 'Excel shows #VALUE! for =C2*D2. C2 contains 3 and D2 contains the text 5000 each. How can I fix the source data?'
A #VALUE! error often means a formula received an unsuitable value, such as text where it expects a number. A #NAME? error can indicate an unrecognised function, a misspelling or an undefined name. A #DIV/0! error means a formula is dividing by zero or a blank cell treated as zero.
If Excel rejects a formula containing commas, your regional settings may require semicolons between arguments. Ask ChatGPT to adapt the formula to your settings. Do not simply hide every error with IFERROR: first check whether the error reveals missing or incorrect records.
Keep a backup before making bulk changes. You can also save your verified prompts and formulas in a separate notes sheet so you can reuse them without sharing the workbook again.
Frequently asked questions
Do you need a paid ChatGPT plan to create Excel formulas? No. You can request text-based Excel formulas using free access to ChatGPT, subject to its current usage limits. File-upload features and limits may vary, but you can describe your columns without uploading a spreadsheet.
Can you use the same formulas in Google Sheets? The multiplication, SUM and SUMIF examples in this article also work in Google Sheets. More advanced formulas and Excel Table references may need changes, so tell ChatGPT which spreadsheet application you use.
Can ChatGPT calculate your business profit accurately? ChatGPT can help you build formulas, but your results depend on accurate records and a clear definition of profit. You should verify the formulas and include all relevant costs before treating a figure as net profit.
